Privacy Policy

This notice explains how Postelist (“Postelist”, “we”, “us”, or “our”) handles the personal information you give us when you apply through our Get Started page and book an introductory call. It covers the application and booking flow at postelist.com/get-started specifically. For our email-verification service and your account data, see our main Privacy Policy.

1. Who we are and our role

For the information you submit through this application and booking flow, Postelist is the controller(or, under the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486), the data user): we decide why and how it is used — to assess whether Postelist is a fit for your business and to arrange and hold a call with you. Postelist is established in Hong Kong and operates globally.

2. Information we collect

Your details. Your first and last name, company, business email address, and phone number, as entered on the application form.

About your business. What you tell us in the free-text field, and your answers to the qualifying questions — your monthly sending volume, the size of your list, where you are today, and how soon you need to go live.

Your booking. The call time you select, your timezone (so we can confirm the time in your local clock as well as ours), and the IP address the request came from.

Technical and usage data. Your IP address, browser and device information, and cookies set while you use the page.

Advertising identifiers. Where present, Meta (Facebook) cookies and click identifiers used to measure the ad campaigns that brought you here.

3. Verifying your email

Before we accept your application we run your business email through Postelist’s own email-validation system to confirm it is deliverable. This involves a technical check with the relevant mailbox provider. We store the result so we do not send a confirmation to an address that would only bounce; if an address does not pass, we still record your enquiry but hold the confirmation.

4. How we use your information

We use the information above to:

  • assess whether Postelist is a fit for your business;
  • contact you about your enquiry and arrange the introductory call;
  • send you a booking confirmation and calendar invite, and reminders about the call (by email and, where you give us a number, SMS);
  • measure and improve the performance of our advertising (see section 6); and
  • detect and prevent spam and abuse of the form.

We use your information only to assess fit and to contact you about Postelist. We do not sell it, and we do not use it for unrelated marketing.

5. Legal bases

Where the EU/UK GDPR applies, we rely on: taking steps at your request before entering into a contract (handling your enquiry and arranging the call); our legitimate interests (responding to enquiries, measuring our advertising, and preventing abuse); and your consent where it is required, such as for non-essential advertising cookies. The Hong Kong PDPO and applicable US state privacy laws also apply to the extent relevant.

6. Advertising and analytics

This page uses the Meta Pixel and the Meta Conversions API, and a Google Ads tag, to measure the ad campaigns that bring people to it. When you submit the form or book a call, we send Meta a record of that event (a “Lead” or “Schedule” event) together with hashed identifiers (such as your email and phone number) and technical data (IP address, browser, and Meta cookies) so the conversion can be matched to a campaign. We do this to understand which campaigns work — not to sell your data.

7. Who we share it with

We share your information only as needed to run this flow:

  • service providers acting on our behalf under contract — our email and SMS delivery and reminder automation, our hosting and database, and our calendar tooling;
  • Meta and Google, for the advertising measurement described in section 6;
  • authorities or other parties where we are required to by law, or in connection with a sale or reorganisation of our business.

We do not sell your personal information.

8. Where your data is held

Your application and booking information is stored on Postelist’s own private, dedicated infrastructure — not a third-party marketing platform — with backups. Postelist is based in Hong Kong, and your information may be processed in other countries where we or our service providers operate, with appropriate safeguards in place.

9. How long we keep it

We keep your application and booking information for as long as we need it to evaluate and follow up on your enquiry, and for a limited period afterwards for our records and legal obligations. We review records that are no longer needed and delete or anonymise them. You can ask us to delete your information at any time (see section 11).

10. Security

We protect your information with encryption in transit (TLS), access controls, and the private, dedicated infrastructure our business is built on.

11. Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your information, to object to or restrict certain processing, and to withdraw consent. To exercise any of these, email privacy@postelist.com. You can stop the call reminders at any time using the opt-out in the message, or by replying to ask us to stop.

12. Cookies

We use a small number of cookies on this page: those needed for it to function, and advertising and analytics cookies (Meta and Google) used as described in section 6. You can control non-essential cookies through your browser settings.

13. Changes and contact

We may update this notice from time to time; the date at the top reflects the latest version. For any questions about this notice or your information, contact privacy@postelist.com. This notice sits alongside our main Privacy Policy, Terms, and Data Processing Agreement.
